Image Labeling Options

Imaging labels are a new feature added to Art-Copy by request from existing Art-Copy customers. The image label options allow a text tag to be imposed on the finished scanned image created by Art-Copy. This image label can be placed on the first page of a multiple page document, or on each scanned page created by Art-Copy depending on your choice. Image labels can be incredibly handy for document management especially when dealing with a large quantity of documents such as customer invoices, or to label the front of a multiple page document for better reference to what is contained.

To add an image label to your scanned document go to the “File” menu and select “Setup”. This will display the setup window below, which will contain many options tabs. You will need to select the tab labeled “Image Label” this will display the options available for customizing the label displayed on the scanned documents.


To insert a label you simply need to click the “Insert label on image” check box located at the very top of the “Image Label” tab. By default the “All pages” radio option will be selected meaning that each image created by Art-Copy will contain an image label. If you will be creating multiple page documents the need for a label on each page is a little bit redundant. Simply click the “First page” option to have an image label displayed on only the first page of each multiple paged PDF of Tiff file.

After enabling an image label to be imposed on images the placement of the image label can be modified to fit your needs. In order to change the page position of the image label you simply need to click on the “Alignment” position options. Each radio option is placed according to the outline of a document with the center of the page being set by default. If the position options do not provide enough flexibility for the placement of the image label you may choose to use a custom location by selecting the “Custom” position and specifying in pixels the position of the image label on the document by the X and Y coordinates.



Now comes the text that will be used for the label. This can be done using the customized naming options. The first of which includes using any one of the three available naming options such as Prefix, Main, and Suffix. By un-checking any of the three naming options disables the option from being displayed. Each of the three options have a sub category that further allows the naming options to be customized based on the particular naming needs of the scan job. Each sub category includes the ability to use either an auto-generated number that is based on the location of the document in the scanning sequence. The other allows for a static text string to be inserted into the defined area of file name.

By enabling an option such as the Main text as static text name with the text “Accounting Confidential”, then enabling the suffix portion of the name as an auto generated number. If a batch scan job of say 10 individual documents were scanned each of the documents would contain the following sequence of file names:

If during the scanning of other individual documents the image label text needs to be changed you may also select the “Ask me before scan” option so that a dialog containing the “Prefix”, “Main”, and “Suffix” will be displayed before the scanning of any new document. This will allow the names of each document to be altered before scanning without the need to open up the Art-Copy setup window to change the text for each scan, unless batch scan is selected which only prompts once.
